Privacy Policy

Relay Workflows (“Relay,” “we,” “us”) is operated by Downs LLC, Dawsonville, GA. This Privacy Policy explains what information we collect when you use Relay Workflows at relayworkflows.com, how we use it, and your choices regarding that information.

1. Information We Collect

Account information. When you sign up, we collect your email address. Authentication is handled via one-time passcode (OTP) or magic link — we do not collect or store passwords. You may optionally provide your name, phone number, and initials within the app.

Organization and team data. You create or join an organization and may add projects, clients, contacts, workflow templates, and workflows. This data is stored in our database and associated with your organization.

Billing information. Subscription payments are processed by Stripe. We do not directly collect or store credit card numbers, bank account details, or other payment credentials. Stripe shares limited information with us (such as subscription status, billing period dates, and a Stripe customer ID) to manage your account. See Stripe’s privacy policy linked below.

Usage data. We collect standard web usage data including pages visited, actions taken within the app (logged in our activity table for your organization’s audit trail), browser type, and device information. We do not use third-party analytics trackers. Cloudflare may collect anonymized performance metrics as part of hosting.

Push notification tokens. If you enable push notifications, your browser generates a push subscription endpoint that we store to deliver notifications. You can disable push notifications at any time from your profile.

2. How We Use Your Information

• Provide the service — authenticate your account, run workflows, deliver notifications, and display your organization’s data
• Transactional emails — send sign-in links/codes, workflow step notifications, and team invitations
• Billing — manage your subscription, process payments through Stripe, and communicate about billing status
• Support — respond to your questions or requests via email
• Improve the product — understand how features are used to prioritize development

We do not sell, rent, or share your personal information with third parties for marketing purposes. We do not send marketing emails unless you have explicitly opted in. We do not serve ads.

3. Third-Party Services

Relay Workflows relies on the following third-party services to operate. Each processes data on our behalf under their own privacy policies:

4. Data Security

We take reasonable measures to protect your data:

• All data in transit is encrypted via HTTPS/TLS
• Database access is controlled by Row Level Security (RLS) policies — each organization’s data is isolated
• Authentication uses one-time passcodes or magic links (no stored passwords to breach)
• Content Security Policy (CSP) headers restrict what code can execute in the browser
• Subresource Integrity (SRI) hashes verify that third-party scripts have not been tampered with
• All API calls are scoped to authenticated users with organization membership verification

No system is 100% secure. If you believe your account has been compromised, contact us immediately at [email protected].

5. Data Retention & Deletion

Your data remains active and accessible for the duration of your subscription. If your subscription is canceled, your data is retained for 30 days to allow for reactivation. After 30 days, you may request full deletion of your organization’s data by emailing [email protected]. We will process deletion requests within 30 days.

Stripe retains billing records independently according to their own retention policies and legal obligations.

6. Your Rights

• Access & correct — view and update your name, phone number, email, and notification preferences directly in the app under your Profile
• Export — organization Owners can export organization data (JSON and Excel formats) from the Organizations screen. For a full data export, email [email protected]
• Delete — request deletion of your account and associated data by emailing [email protected]. We will process your request within 30 days
• Notification preferences — toggle email and push notifications on or off at any time from your Profile

7. Children’s Privacy

Relay Workflows is a business application designed for use by professionals in the commercial construction industry. We do not knowingly collect personal information from children under the age of 13. If we learn that we have collected information from a child under 13, we will delete it promptly.

8. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we do, we will update the “Last updated” date at the top of this page. Continued use of Relay Workflows after changes constitutes acceptance of the updated policy.

Terms of Service

These Terms of Service (“Terms”) govern your use of Relay Workflows at relayworkflows.com, operated by Downs LLC, Dawsonville, GA. By creating an account or using the service, you agree to these Terms.

1. The Service

Relay Workflows is a web-based workflow management application for specialty contractors in commercial construction. It allows organizations to create workflow templates, assign tasks with due dates, track progress, manage team members, and receive notifications — all from a browser or mobile device.

2. Accounts & Access

To use Relay, you must provide a valid email address. You are responsible for all activity that occurs under your account. You agree to notify us immediately if you suspect unauthorized access to your account.

We reserve the right to suspend or terminate accounts that violate these Terms or that we reasonably believe are being used fraudulently or in a manner that harms the service or other users.

3. Subscription & Billing

Relay Workflows is offered at $99 per month per organization with unlimited users. New organizations receive a 30-day free trial. After the trial, your subscription will begin automatically unless canceled.

All payments are processed by Stripe. You can manage your payment method, view invoices, and cancel your subscription through the Stripe Customer Portal (accessible from Settings within the app).

Cancellation takes effect at the end of your current billing period. You retain access until the period ends. We do not offer partial refunds for unused time within a billing period.

4. Your Data

You own the data you enter into Relay Workflows. We do not claim any intellectual property rights over your content. We use your data solely to provide and improve the service as described in our Privacy Policy above.

5. Acceptable Use

You agree not to:

• Use Relay Workflows for any illegal purpose or in violation of any applicable laws
• Attempt to gain unauthorized access to other organizations’ data or accounts
• Interfere with or disrupt the service, its servers, or connected networks
• Probe, scan, or test the vulnerability of the service without written permission
• Resell, sublicense, or redistribute access to the service without our written consent
• Use the service to transmit malware, spam, or any harmful content

6. Availability & Support

We strive to keep Relay Workflows available 24/7, but we do not guarantee uninterrupted access. The service may be temporarily unavailable due to maintenance, updates, or circumstances beyond our control.

7. Limitation of Liability

Relay Workflows is provided “as is” and “as available” without warranties of any kind, express or implied, including but not limited to merchantability, fitness for a particular purpose, and non-infringement.

To the maximum extent permitted by law, Downs LLC shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, or business opportunities, arising from your use of or inability to use the service.

Our total liability for any claim arising from these Terms or your use of the service shall not exceed the amount you paid to us in the twelve (12) months preceding the claim.

8. Governing Law

These Terms are governed by the laws of the State of Georgia. Any disputes arising from these Terms or your use of the service shall be resolved in the state or federal courts located in Dawson County, Georgia.

9. Changes to These Terms

We may update these Terms from time to time. When we do, we will update the “Last updated” date at the top of this page. Continued use of Relay Workflows after changes constitutes acceptance of the updated Terms. For material changes, we will make reasonable efforts to notify you via email or in-app notification.
